Every year, our team visits your location to capture fresh content that supports your brand’s marketing goals. This process requires careful planning and close collaboration with your business to make sure our visits are scheduled at a time that lets us tell the stories of your technicians and leadership. Use this page as a resource and guide to understand what’s needed to make your production shoot a success.
Planning your production timeline
As we plan your shoot, we’ll reach out to schedule dates during the month set aside for your visit. We’ll share this year’s topics and ask for technicians, team members, and managers to interview and follow for their stories.
We aim to showcase your brand through both your team and your customers. If possible, we’d love to capture on-camera testimonials from customers sharing their experiences — highlighting your expertise and community impact.
As you plan, consider a few customers who might be open to participating.
How we do production shoots at Epika
We understand the fast pace of mobile technicians, and our team is fully prepared to keep up — from bringing the right gear to meeting techs directly on-site.
No need to host us! Just share the locations, technician details, and job plans, and we’ll handle the rest. We know your team’s on the job, so we’ll keep a low profile and capture them in action, letting them work naturally — showcasing what they do best without interruption.

We’ll also coordinate pre-dinner plans and interview spaces with you. Check out the checklist below to see what we’ll need from you to get everything lined up:
- All completed photo release forms for all participating employees (billing, techs, management, customers, etc.), either handed to the marketing team or sent via email
- Send us photos of potential interview spaces, along with our recommendations & requests for ideal setup
- A filled-out schedule template, listing teammates & customers, scheduled for interviews along with noted backup interviewees

Do I have to stop working for you to take pictures & video?
No, keep doing what you do best! We love capturing technicians in action, so just continue working as usual — we’ll be around to capture as much as we can.
Do I have to memorize my answers for the interview?
No need! We want this to feel like a natural conversation. The more relaxed you are, the better the video will turn out. Just be yourself — and if needed, we can always do a second take for the question!
Who will see these videos and photos?
Once approved, we share these posts on social media, our website, blogs, and other public channels. Follow us at @epikafleet to see your videos and photos in action!
Do I need to be in uniform and wearing proper PPE?
Yes you do. We’ll send out pre-production materials well before our visit to make sure you have plenty of time to get all the required PPE and uniforms ready. We can also reach out to technicians directly with a reminder so everyone’s prepared for the shoot.
What if a technician ends up being unavailable?
We understand that things come up. If possible, please have a backup ready so we can capture all the content needed to showcase your brand. Let us know as soon as you’re aware of any schedule changes or unavailable team members, and we’ll do our best to accommodate.
What if a customer ends up being unavailable?
We get it—plans can shift! To help us capture all the content we need, we’d love it if you could have at least two customers ready for the visit. That way, if someone can’t make it, we’re still covered. Just keep us in the loop on any changes, and we’ll do our best to adjust!
Why am I signing a release form?
How long does it take to see the content once it’s edited?
Our team works quickly, but quality editing takes time. Each video, photo, and post goes through careful production. Once post-production is complete, we’ll send you an update to review the final edit.
We also want your technicians, customers, managers, and other team members to see the finished product. During pre-production, please provide contact information for everyone who’ll be on camera so we can share the final result with them and celebrate their work!
How many days does a production shoot take?
With careful planning and collaboration, we’ve got this process down to a science. Shoots typically take 3-5 days depending on what we’re capturing and who’s available. We’ll coordinate schedules and plan every hour — including travel between sites — to maximize our time and capture as much as possible.
Do you visit locations like truck yards and customer sites?
Those settings are ideal for b-roll and photos. If you arrange interviews with customers at their yards or offices, we’d love to capture your technicians in action. If prior approval is needed, we’d appreciate your help in securing it!
What are some ways to not be nervous for interviews?
We get it — being on camera isn’t everyone’s favorite thing. When planning, consider how comfortable each person might feel being interviewed.
We keep things as casual as possible because we love telling stories about people who deserve the spotlight. Our team is friendly, and remember — it’s just a conversation! We can always do another take or edit things out. We’re here to make your brand and your people shine!
